Hi
I need to create a lot of task action items from emails. I currently have w workflow where i use clearcontect in outlook to create a outlook task from the item and then synch to get that task into AP. I find this easier than placing sending the email to AP. can i amend this so the email is attached to the object in AP so i can view a task and directly open the email regarding it from there rather than having to go back into outlook Regards Rob |

No, unfortunately you can't link or attach emails to AP tasks other than by importing the email through Outlook sync.

In both Outlook 2003 and 2007 you can grab an email or emails from the list in your inbox, without opening them, drag them to Outlook's Task button in the left-hand menu and watch for the button to change color or highlight. Release the emails and they will all become Outlook tasks with the email bodies in the notes section of the Task, without using any third-party software. Then all you have to do is import them into AP via the synch with Outlook function. Detailed how-to: 1. In your Outlook in-box or folders, select the email or emails you want to make Tasks, usually by clicking once so they're highlighted. Use the normal Shift function to select congruent emails or CTRL+Enter to choose multiple emails that are not next to each other. 2. Once all the emails you want are selected, release all buttons. 3. Left click AND HOLD on one of the highlighted emails, then drag to the Task button. If it worked correctly you should have a small empty square appended to your cursor. KEEP THE BUTTON DOWN! 4. Hover over the Task button, sill holding from your earlier click, and wait for the Task button to change color. When it does, release your click. 5. All emails should pop-up as open Task windows. "Save and Close" each one to save them to your Outlook Task list. ALTERNATE METHOD: if you'd prefer to do one email at a time, I recommend opening a new Task in AP, then using CTRL+A in the original email to select all the "innards" and CTRL+C to copy them and CTRL+V (yep, V) to paste them into the AP Task. Means having both open at the same time, but if you just have a few emails, might be faster than the multi-step method above. |
